The method
- Describe your question in your own words and identify the organization you intend to contact. Separate information useful to the request from private notes. Keep a readable version of the message actually sent: a draft and a sent message are different documents.
- Create one row per exchange with date, channel and associated document. Attach messages to the relevant request, especially when several matters remain open. An acknowledgment and a substantive response are different events; record what was actually received.
- For each reply, distinguish addressed points, open questions and missing documents. Prepare your next question from that list. Consult official documentation for conditions and possible next steps; do not infer a legal deadline from the example below.
Fictional worked example
In a fictional case, a person retains the original message, an acknowledgment and a reply addressing only one of two points raised. The log connects all three documents and preserves the other point as open. It establishes neither a breach nor success of the request.
The record to keep
Keep original messages and a dated index in storage appropriate to their confidentiality. When asking for help, prepare a copy containing only information the recipient needs.
