Everyday practical guides

Find the exact version of a submitted application

Link each vacancy to the files you actually sent. France Travail presents application organisation and tracking tools. Your own register can be simple: it should distinguish a draft, a submission and a reply.

The method

  1. Give the vacancy a local reference and retain its address, title and reading date. Record contact details only when useful; avoid collecting unnecessary personal information.
  2. Before submitting, record the CV, letter and requested attachments with their versions. Afterwards add the date and channel. A prepared document remains a draft until you actually send it.
  3. Add replies and next actions as new entries. Before an interview, reread the submitted application. Keep it distinguishable from a newer document.

Fictional worked example

In a fictional example, two applications use different CVs. An invitation concerns the second; the register retrieves that version without assuming the employer received the first.

The record to keep

Keep file references and available confirmations. Protect the folder and remove information when it is no longer useful.

Your record, step by step

For your own situation, record the following information. Check a field when it is documented; missing information still needs verification. The boxes are a reminder within this page.

This checklist does not validate your project. No entries are sent or saved.

What this method can establish

The register proves neither that a message was read nor a successful outcome. It replaces no procedure required by an organisation.

Useful questions before you start

Does a draft count as a submission?

Use submitted status only after the action actually takes place.

Should I erase an earlier version?

Keep the reference to the submitted version while it remains useful for tracking.

Supporting documentation

These references support the method. Each source shows its language and consultation date; an available directory record explains its purpose.
